Job Title: Receptionist / Office Administrator

Location: Cary, NC

Role Summary:

We are seeking a highly organized and proactive Receptionist / Office Administrator to be the welcoming face of our corporate office in Cary, NC. This individual will manage front-of-house operations, provide administrative support to management, and oversee essential office functions, ensuring the smooth day-to-day operation of the office.

Key Responsibilities:

  • Act as liaison with the landlord and management company, including managing keys and fobs for the Corporate Office.

  • Process payables and manage office supplies.

  • Manage leases for light office equipment.

  • Manage administrative tasks related to company awards.

  • Process executive expense reports and occasionally organize travel arrangements.

  • Handle customer relations tasks such as arranging Christmas baskets for customers.

  • Plan for special events (e.g., Christmas parties, etc.).

  • Execute Special Projects as assigned

  • Manage incoming and outgoing phone calls.

  • Serve as the company Notary Public.

  • Manage general office postage requirements.

  • Maintain the tidiness of the kitchen area and water office plants.

  • Handle daily mailing tasks, including Fedex, AP Checks, and other correspondence.

  • Manage the Vehicle Expense Reports and assist with fleet management.

Qualifications:

  • Proven experience in a reception, office administration, or similar role, preferably within a corporate environment.

  • Exceptional organizational and time-management skills.

  • Proficiency in Google Suite.

  • Excellent communication and interpersonal skills.

  • Ability to handle confidential information with discretion.

  • Current Notary Public commission or willingness to obtain one.

  • Strong problem-solving skills.

Experience:

  • 3-5 years of relevant experience as an Office Administrator or similar role.
